Unveiling the Essential Poland VFS Checklist: Your Key to a Smooth Application Process

Introduction

Poland is one of the top destinations favored by Indian students. The reason is the developing job opportunities, cost-effective quality of education, and economic living costs.

Every year, significant numbers of students from all over the world enter Poland to pursue their globally recognized education.

However, before embarking on this thrilling study abroad journey, it’s crucial to understand every aspect of the Polish student visa process to stay clear of last-minute uncertainties.

A Poland student visa is required before entering the country for any course or training purpose. The visa application process needs attention to the tiniest details and requires following various guidelines and document requirements.

About Poland Student Visa

Students from an EU member state do not need to apply for a student visa as they only need their valid ID, travel documents, and registration with the Voivodeship (Provincial) Office to study in Poland.

On the other hand, International students from non-EU countries need a D-type visa in order to stay and study in Poland for one year.

Types Of Poland Student Visa Available

There are various types of Poland student visa options available to choose from:

A Type:

Also known as a transit Schengen visa, it provides holders the permit to enter the Schengen territory to change their means of transport. This type of visa is absolutely of no use to any international student who wants to pursue their studies in Poland.

C Type:

This is a short-term visa that permits the visa holder to remain within the territory of Poland for a period of up to 90 days during a 180-day period.

D Type:

A D-type national visa is a long-term visa that allows the visa holder to enter the territory of Poland and stay for no longer than one year and permits traveling around the Schengen area for a total duration of 90 days during the period of validity of the visa.

Document Requirements For Poland Student Visa

Supporting Documents

There are several documents needed for obtaining your student visa for Poland. These include the following:

  • Passport:

    Students must have a valid passport with two blank pages for the visa stamp.

  • Visa Application Form:

    Download the visa application form online from the E-Konsulat website or get it physically from the Polish embassy or consulate and fill the form completely with sincerity.

  • Passport-Sized Photograph:

    Two passport-size photographs as per the photo requirements and specifications of a Polish student visa. [direct to specifications outline]

  • Travel Health Insurance:

    Proof of travel medical insurance with minimum coverage of 30,000 € and must be valid in all of Poland and the entire Schengen area.

  • Cover Letter:

    While applying for a student visa for Poland, you have to provide a cover letter that states the purpose of your visit to the country and your travel itinerary.

  • Accommodation Proof:

    Submit your proof of accommodation where you can attach a hotel reservation in Poland or an invitation letter from a Polish family member or friend.

  • Sufficient Funds:

    Proof of adequate finances for your period of stay in Poland. You should be able to cover at least €16 a day.

  • Proof Of Civil Status (If applicable)
  • Letter Of Invitation
  • Flight Reservation Or Itinerary
  • Payment of Poland Visa Fee
  • Employment Status Documents

Additional Documents Requirements For Students

Some added documents needed for students to attach are:

  • Acceptance/enrollment letter allowing attendance of the program.

  • No objection letter from the school or university where you are currently enrolled (if required).

  • Internship agreement having signed between the company in Poland, the establishment of origin, and the trainee.

Additional Poland Visa Requirements For Minors

  • Birth certificate

  • Proof of a parent’s regular income

  • Parent’s notarized authorization to travel

  • Notarized parental travel consent (applicable if parents live in a different country)

  • Certified copies of ID/passport of both parents

  • Family court order (required if only one parent has full custody)

Photo Specifications

Two passport photos are required to be provided with the visa application form. The photo should be as per the Poland Schengen visa photo requirements.

The passport-size photo specifications and requirements are as follows:

  • Photo dimensions: 35x40mm

  • Take the photo in front of a white background

  • The photo should be recent (taken within the last three months)

  • The whole face must be visible Photo must be taken in high quality (avoid blurriness or even over-exposure)

  • Do not wear glasses that obstruct the face, such as glasses with thick frames or sunglasses.

  • The only headwear allowed in the photo is head attire related to religious beliefs. Even so, the headwear must not cover the face.

Financial Proof

Proof of financial stability is crucial when applying for a Poland student visa. You must show adequate evidence of your finances to prove that you can support your stay in Poland.

Following are some financial documents that need to be submitted along with your visa application form:

  • Bank statements

  • Income tax return

  • Document proving you have at least 300 PLN (€67.76) in total for a three-day trip

  • Document showing an additional balance of 100 PLN (€22.59) for each day after the trip.

Accommodation Proof

Proof of accommodation is an important document requirement for the Poland student visa. Depending on your stay, provide below necessary documents:

  • A Hotel or Airbnb reservation

  • A rental agreement

  • In case you are visiting a family member or friend, an invitation letter proving that you will stay with them during your visit

Health Insurance

Buying travel health insurance is a crucial requirement. You need to get travel medical insurance as per the Schengen visa insurance requirements. Below are the basic requirements to follow:

  • It should provide minimum coverage of the amount of €30,000 in case of medical emergencies.

  • It must cover every country in the Schengen Area.

  • It must be valid for your entire stay in Poland.

Flight/Travel Itinerary

Providing a detailed travel itinerary is another significant requirement of a Poland student visa. You must provide below the following information:

  • Complete travel plan from and to Poland

  • Include flight reservation or plane tickets details

  • Hotel bookings

Arrange all the necessary documents listed above before you submit your visa application; otherwise, your application might get refused by the Embassy/Consulate General of the Republic of Poland. Moreover, make sure to submit documents in Polish or English language.

Guidelines To Follow For Poland Student Visa

When applying for a Polish visa, students need to get their documents from the Apostille Stamp. This stamp is required to certify your documents, and you can get your documents stamped from your nearest Polish Embassy or even in a court.

Below is the list of documents that must contain the Apostille Stamp:

  • Your birth certificate

  • Your marital status (marriage certificate)

  • Death certificate

  • POA (power of attorney)

  • Academic diploma

  • Business registration certificate

  • Any court orders (if applicable)

Poland Student Visa Application Process

The steps to follow to apply for a Poland visa are as follows:

Step 1: Admission to a Polish University

The first step is to secure your admission to a recognized Polish university. After getting admitted, you can apply for a Poland student visa.

Step 2: Find your nearest Polish consulate or embassy

Next, depending on your location, find your nearest Polish consulate or embassy. It can be in your country, and if not available, find one in your neighboring country. You can also apply at the embassy or consulate, where Poland has outsourced visa submissions.

Step 3: Book your Poland VFS appointment

Set up your Poland student visa appointment slot at the embassy. It is advisable to book your appointment at least 2 weeks before you plan to visit Poland.

Step 4: Gather the required documents

After completing the above steps start preparing all the necessary documents for your Poland student visa application. Follow the above-shared comprehensive Poland student visa checklist to collect the required documents.

Step 5: Visa application and interview

On your appointment date, submit your visa application with all the required documents and attend an interview if required.

Step 6: Paying your Visa Fee and Track Application Status

You will need to pay the visa application fee at the time of submission. Pay the application fee as required and keep the payment receipt as proof of payment.

Next, you can track your visa application status online using the tracking number provided at the time of application submission. Usually, the Poland student visa processing time is between 10 to 14 days. In some cases, this timeframe may get extended for 45 to 60 days.

Polish Residence Permit

In case you need to stay in Poland for more than 1 year, you will need to apply for a Type D visa. For this visa, you will also require a residence permit. Below are the following documents to prepare for applying for the Polish residence permit:

  • Application Form

  • Identity documents

  • Proof of your admission to a Polish University or College

  • Financial documents showing that you have adequate finances

Note:

The first Polish residence permit is only valid for the time duration of 15 months. Although, it is renewable and can be renewed for up to 3 years. You will need to reapply for an extension before your visa expires.

Poland Student Visa Rejection

In comparison to other European countries, Poland's student visa rejection rate is minimal. The country has flexible visa and migration policies which make its visa application process less complicated.
